Congratulations on your new booking! To ensure a smooth experience for both you and your guest, here are the steps you should take after receiving a booking on Hostshare:

✅ 1. Contact the Guest as Soon as Possible

It’s important to reach out to your guest promptly to confirm the booking and provide check-in instructions. This helps create a great first impression and ensures clear communication.

What to include in your message:

  • A warm welcome and confirmation of the booking.

  • Check-in instructions (e.g., key codes, parking details, or house rules).

  • Contact information in case the guest has any questions during their stay.

If you’re not sure what to say, consider using the template below:

✅ 2. Ensure Your Calendar is Blocked on Airbnb or Other Platforms

  • Check your Airbnb or PMS calendar to confirm the booking is blocked. If you’ve exported your Hostshare calendar, this should happen automatically within a few hours.

  • If the booking doesn’t appear, manually refresh your calendar on Airbnb:

    • Go to your Airbnb Calendar > Settings > Sync Calendars and click Refresh.

    • Go to Calendar > Export Calendar in Hostshare.

    • Paste the link into Airbnb under Import Calendar and refresh.

✅ 3. Make Sure Your Payout Account is Set Up

If you haven't done so already, to receive your payouts, make sure your Hostshare payout account is set up and verified. Without this step, payouts for your bookings cannot be processed.

  1. Log in to your Hostshare account.

  2. Go to the Account > Payments and Payouts and click Payouts tab.

  3. Enter your bank account details and any required verification information.

  4. Double-check that all details are correct to avoid delays.

✅ 4. (Optional) Add This Booking as a Direct Booking in Your PMS

If you use a Property Management System (PMS), recording this booking as a direct booking helps you stay organized and track all your reservations in one place. As well as kick-off any automations you may have in place for check-in instructions and so on.

Steps to add the booking:

  • Log in to your PMS.

  • Enter the booking details (guest name, dates, payment amount, etc.) into the direct booking section.

  • Confirm that the reservation is correctly reflected in your system.

We will automatically have this integration with many of the major PMS platforms in the future, but until then, this is the best work-around alternative.
